Overview
Redtail CRM lets you store five types of client ID: Driver's License, Other ID, Passport, US Permanent Resident Card, and Military ID. Of these five, only Driver's License, Other ID, and Passport map to fields in Quik! forms. When a client has both a Driver's License and an Other ID on file, the Driver's License takes priority. This article explains exactly which ID fields prefill, which form fields they fill, and what to expect when a client has more than one ID type on file in Redtail.
Who this article is for: Users and Admins connecting Redtail CRM with the Quik! App who want to understand ID field prefill behavior specifically.
💡 For a full list of all fields Quik! can prefill from Redtail (not just IDs), see Redtail - Which form fields are prefilled.
Prerequisites
- You must have an active Redtail CRM account connected to your Quik! App.
- The client record in Redtail must have ID data entered under one or more of the supported ID types.
- You must have permission to manage or view client data in both systems.
How ID Prefilling Works
When you assign a client on the Add Clients page, Quik! checks the ID records saved on that client in Redtail and applies the following logic:
- Driver's License: Fills both the State Driver's License fields and the Government Identification fields on your form. Many forms only ask for one of these two, so mapping the Driver's License to both ensures it prefills regardless of which one the form uses.
- Other ID: Fills the Government Identification fields only, and the Identification Type field shows "Other ID." This only happens when the client has no Driver's License on file.
- Driver's License and Other ID together: If a client has both saved, the Driver's License is used for the Government Identification fields and the Other ID is not pulled in at all.
- Passport: Fills the Passport fields on your form. It does not interact with the Driver's License / Other ID logic above.
- US Permanent Resident Card and Military ID: These can be saved on a client in Redtail, but neither is currently mapped to a field in Quik!, so they never prefill.
ID Field Mapping Overview
The table below shows what prefills on your form depending on which ID record(s) a client has saved in Redtail.
| Redtail ID Record | State Driver's License fields | Government Identification fields | Passport fields |
| Driver's License on file | Prefills | Prefills (from the Driver's License) | Does not prefill |
| Other ID on file (no Driver's License on record) | Does not prefill | Prefills (Identification Type shows "Other ID") | Does not prefill |
| Other ID on file, but a Driver's License is also on record | Does not prefill | Prefills, but from the Driver's License — the Other ID is ignored | Does not prefill |
| Passport on file | Does not prefill | Does not prefill | Prefills |
| US Permanent Resident Card on file | Does not prefill | Does not prefill | Does not prefill |
| Military ID on file | Does not prefill | Does not prefill | Does not prefill |
Which Form Fields Are Involved
The Government Identification fields and State Driver's License fields are separate groups of fields in Quik! — a form may use either or both, depending on how it was built. Here is what belongs to each group:
| Redtail Field Group | Individual Fields |
| State Driver's License | ID Number, Issued Date, Expiration Date, Issuing State |
| Government Identification | ID Number, Issued Date, Expiration Date, Issuing State, Identification Type |
| Passport | ID Number, Issued Date, Expiration Date, Issuing State |
Why Some ID Fields Might Not Prefill
- No matching ID on file: If the client doesn't have a Driver's License, Other ID, or Passport saved in Redtail, the related fields will stay blank.
- Driver's License takes priority: If a client has both a Driver's License and an Other ID, only the Driver's License data is used. This is expected behavior, not an error.
- A form asks for the Driver's License specifically: Some forms request the ID through fields that only accept a Driver's License. An Other ID will never fill those fields, even if it's the only ID the client has on file. If you run into this, contact support so we can review the form.
- US Permanent Resident Card or Military ID: These are not mapped to any Quik! form field yet, so they will not prefill no matter what data is entered in Redtail.
FAQs / Troubleshooting
Q: My client only has an Other ID in Redtail, and the Driver's License field on my form is blank. Is that a bug?
A: No. Other ID is only mapped to the Government Identification fields, never the Driver's License fields. If your form specifically asks for a Driver's License, that field will stay blank for a client without one. Contact support if you'd like the form reviewed.
Q: My client has both a Driver's License and an Other ID. Why didn't the Other ID show up anywhere?
A: When both are on file, Quik! always uses the Driver's License. The Other ID is intentionally ignored in that case.
Q: Can Quik! add support for US Permanent Resident Card or Military ID?
A: These fields are not currently mapped. If this is something you need, please reach out to support@quikforms.com so we can log the request.
